Build your FF&E schedule
The schedule is where selections become real: codes, dimensions, finishes, lead times, and pricing in one living document the whole team and every vendor works from.
Every interior project lives or dies on its specification, and the schedule is where that specification lives. In Tailor it is not an export you regenerate every Friday — it is a living document. Add a product to a room and it lands on the schedule with its full record already filled in. Change a quantity and the room total moves. Mark an item Approved and procurement can act on it. One document, always current, and everything else in the project reads from it.
The project’s source of truth
Open the Products tab on any project and you are looking at the schedule: every selection, organized by room, each row carrying its code, dimensions, finishes, lead time, quantity, and pricing. Because rows are built from your library records, the specs arrived with the product. Nothing was re-typed. Group by room, drag the columns that matter to the front, and toggle between your view and the client’s to keep cost and markup studio-side. One schedule, two audiences.
Working the schedule day to day
The daily rhythm is simple: items come in, statuses move forward, totals stay honest. Here is the loop in practice.
- 1
Add items into their rooms
Click Add item inside a room to pull a product from your library, or assign products to rooms from the Library itself. Either way the row arrives with its specs, image, and pricing intact.
A piece with no product page yet? Add it manually and refine the record as specs firm up.
- 2
Set quantities
Six dining chairs is one row with a quantity of six, not six rows. Extended pricing recalculates as you type, and the room total follows.
- 3
Move statuses as decisions land
Each row carries a status: Pending while the decision is open, Approved when the client says yes, Rejected when the answer is no. Click the status chip and pick the new state.
- 4
Watch the room totals
Totals per room and for the project update live with every edit. When a room is trending over, you see it the moment it happens, not at the Friday reconciliation.
- 5
Generate spec sheets when items firm up
Turn any row into a branded, print-ready spec sheet without leaving the page. QR codes link back to the live item, submittals and lead times travel with it, and revisions are tracked automatically.
Bundle several into a spec book to send a complete specification package in a click.
Every selection lives on the Products tab, organized by room
Transcript · Track selections on your schedule
- 1This is the schedule: every selection in the project, organized by room, with quantities, pricing, and status.
- 2Add an item straight into a room
- 3Each row carries a status: proposed, approved, or ordered. The whole team sees where every piece stands.
- 4The client said yes, so mark the rug Approved
- 5Totals and the budget bar update live, so pricing conversations never wait for a spreadsheet.
What statuses actually do
Statuses are not decoration: each one informs a different audience. Pending tells your team a row is still a candidate, safe to swap. Approved tells procurement the client has committed, and on Studio and Agency plans an approved item flows into a draft purchase order automatically. Rejected keeps the no on the record, so the piece that lost is one click from reconsideration instead of vanishing into an old email thread. Because status lives on the same row you specified the item on, nobody cross-references a tracker to learn where a piece stands.
Live totals keep everyone honest
Every quantity change and every added row moves the totals, per room and for the project, the moment it happens. That makes the schedule the natural place for pricing conversations. When a client asks for the hand-knotted rug instead of the loomed one, you can show what the swap does to the room total in the meeting, not in a follow-up email. The numbers never go stale because they were never copied anywhere; they live on the rows themselves.
From document to conversation
A schedule this current is worth showing. Share a live link and your client approves, flags, or comments item by item, no login required. Every decision syncs straight back to the schedule in real time. The moment an item is approved, it is ready to move down the procurement pipeline. Client-facing sharing has its own guide, next in this path, covering the portal, presentations, and how approvals land back on these rows.
A schedule that is ready to share
- Every room in scope has its selections rowed, even the Pending ones
- Quantities set, since extended pricing only means something when counts are real
- Statuses current, so Approved genuinely means the client said yes
- Client view toggled on once to confirm cost and markup stay studio-side
- Lead-time column visible for anything driving the install date
